Job Description
Duties and Responsibilities
Analyze needs and create project management structure solutions for projects consistent with Bank standards and industry best practices
Project management structure to include, but not to be limited to, project charter, timelines, tasks and list of equipment and materials—to be coordinated with the Video Services Engineering and Product Manager
Coordinate with the ITS team members, Bank’s Global Corporate Solutions department (GCS) and contract technical service provider on the Bank’s requirements, interfaces, and processes
Develop and monitor project implementation plans to assure quality and timeliness of ITSCU-technology projects in accordance with industry best practices
Evaluate vendor proposals and contracts, considering factors such as cost, quality, and compatibility with project goals
Select and manage vendor relationships, ensuring adherence to project timelines and quality standards
Collaborate with stakeholders to gather and document business requirements for AV/VC video conferencing solutions
Translate business needs into technical specifications and project plans
Ensure that the project aligns with organizational goals and objectives
Work closely with designers and technical teams to develop and refine AV/VC system designs
Ensure that the proposed solutions meet both business and technical requirements
Oversee the implementation of the design, addressing any design-related issues or changes
Demonstrate proficiency in Cisco, Microsoft Teams, and Zoom Video technologies. Stay updated on the latest developments in these platforms and recommend innovations to enhance project outcomes.
Manage the procurement process, including the creation and approval of purchase orders (POs).
Monitor project budgets and expenses, ensuring cost control and adherence to financial guidelines.
Coordinate the delivery and installation of AV/VC equipment and systems.
Ensure that all items are delivered on time and meet quality standards.
Ensure the quality and functionality of AV and VC solutions. Conduct testing and quality assurance checks to guarantee optimal performance.
Maintain clear and open communication with project stakeholders, including executives, vendors, and team members. Provide regular project updates and address any issues or concerns promptly.
Identify and mitigate project risks. Develop contingency plans to address unforeseen challenges that may arise during the project.
When required lead project team meetings and update management, end-users, and technical team of project issues and status
Effectively coordinate meetings and communicate between clients and team members across multiple time zones and with diverse background
Coordinate asset management of equipment purchased for projects and update department inventory as necessary
Selection Criteria
Education:
Master’s degree with 5 years relevant experience OR equivalent combination of education and experience in Information Management, Computer Science, Engineering, or similar field
Experience:
Minimum three (3) years of relevant experience in developing project management documentation and processes related to technology and/or construction projects.
Advanced knowledge of and proficiency with standard project management procedures for technology projects in corporate environments.
Basic knowledge in audiovisual system design and project coordination.
Basic knowledge in installing, configuring, and trouble-shooting audiovisual conferencing equipment
Experience in user support and conference room maintenance
Required Skills/Abilities:

Strong time management skills and ability to meet deadlines
Good decision maker and ability to act upon information and adjust decision
Good knowledge of the fundamental concepts of videoconferencing technology
Good knowledge and understanding of effective practices for dealing with clients in a variety of situations
Excellent oral and written communication skills in English including ability to produce concise, readable, and analytical reports
Ability to work cooperatively and collaboratively in a team environment
Ability to negotiate effectively and in times of conflict settle issues and maintain harmony amongst the project team members
Ability to cope and work effectively under stress
Ability to deal sensitively in multicultural environments, and build effective working relations with clients and colleagues, both within and outside the organization
