Job Description

Duties and Responsibilities:

  • Develop and implement WFP regional/country plans, including administrative processes, aligned with regional and wider WFP strategies and policies to facilitate efficient and effective administration services.
  • Develop annual plans, contribute to longer term strategies and improvements to policies, systems and procedures to ensure services provided support WFP strategic objectives and are in compliance with corporate policies, standards, regulations and processes.
  • Manage and/or carry out complex data analysis to provide management and clients with the accurate information and reports for efficient planning and decision-making.
  • Manage the existing resources in the area of responsibility (e.g. WFP managed facilities, assets and travel management, etc.) and estimate new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services.
  • Facilitate the compliance of the services provided (e.g. WFP managed facilities, assets and travel management, etc.) with the corporate Occupational Safety and Health Policy and provide recommendations to the management on any improvements/changes, when required.
  • Promote a culture of environmental sustainability throughout WFP by role modelling actions that drive sustainability in all administrative activities.
  • Manage and motivate a multicultural team(s), provide coaching, training and guidance as required to ensure appropriate development and enable high performance.
  • Strengthen the capacity of WFP staff and partners through the delivery of trainings, workshops, daily interaction, etc. for efficient and effective delivery of food assistance to beneficiaries.
  • Oversee staff handling the protocol related matters including application for UN travel documents like UN Laissez-Passer, legal and administrative documents required to enter, stay, and live in Nigeria, privileges, including duty-free. Importation of household goods, importation/purchase of vehicles, and tax exemptions.
  • In the context of the UN system and multilateral fora, support the building of collaboration and joint events with government counterparts, civil society, and inter-governmental organizations to advocate for the SDGs and Zero Hunger on the global agenda and advance WFP priorities and objectives, based on a basic understanding of member states’ dynamics and interests.
  • Build productive collaboration with WFP stakeholders, other UN agencies & government officials by facilitating and supporting senior staff and creating linkage between public, private & external partners to attract policy support, resources, technical assistance & innovative solutions.
  • Contribute to preparedness actions such as risk analysis, and contingency planning, monitoring the management of risks and reporting on actions taken.
  • Issuing guidelines and preparing Standard Operating Procedures (SOPs) in accordance with WFP’s protocol rules and regulations.
  • Other as required.

Requirements:

  • Advanced University degree in Business/Public Administration, Engineering, or other relevant field relating to office management and administration, or First University degree with additional years of related work experience and/or training/courses.
  • A minimum of five years of practical professional (managerial) work experience in overseeing & coordinating office administration operations related to budgeting, contracting, project planning, management processes & policies.
  • Experience in handling complex organizational issues at the international level is desirable.
  • Hands-on experience with UN administrative/financial policies and practices is an asset.
  • Experience in leading a small team of administrative staff with related areas of expertise.
  • Demonstrated experience in leading & supporting projects and input into functional policies.
  • Good coordination skills and ability to lead the management of administrative actions in the Country Office.
  • Capability to analyze resources and organize its prompt deployment in line with the corporate guidelines and changing priorities.
  • Strong leadership skills and the ability to motivate and inspire others.
  • Good networking skills and ability to develop and strengthen collaboration with the key counterparts & stakeholders.
  • Excellent people/interpersonal skill with an ability to build positive relationships and work effectively with others.
  • Excellent communication skills and the ability to speak clearly and concisely.
  • Strong analytical skills and the ability to interpret data for strategic decisions.
  • Strong decision-making skills with an ability to analyze information, consider multiple options, and make sound decisions in a timely manner.
  • Time management skills and the ability to prioritize tasks and manage time effectively. Capacity to manage competing priorities within limited timeframe.
